Compose an Email
This topic describes how to compose and send emails.
Procedure
- Do one of the following, depending on how you want to initiate the email:

From the toolbar

Click the button on the Toolbar. This displays the New Email Panel.
Note: if the button is missing, you do not have the user right for composing emails.

From your contacts list

Ensure that the Comms Panel is displayed. If it is not, click the button on the Toolbar.
Identify the contact on the panel's Contacts tab (use the search and filter controls at the top of the panel if required). A contact details stub is revealed below the contact's name.

Click the contact's email address. This displays the New Email Panel with the To field prepopulated with the contact's selected email address.
Note: if the 'New Email' panel is not displayed, you do not have the user right for composing emails.

- In the New Email Panel, use the To field to enter the email addresses of the target recipient or any additional recipients as required.

- If permitted, click the
button to the right of the From field to present an alternative origination email address to the recipients.
- If required, use the Cc and Bcc buttons to insert further email addresses. You can drag a contact's email address from the Comms Panel - Contacts Tab and drop it into the To and Cc fields.
- In the Subject field, type the subject of the email.
- Type a message in the Enter a message field. Use the
Email Templates button or press the keyboard Ctrl + / keys to insert predefined text into the field. If you accidentally select the wrong template, you can use the keyboard Ctrl + Z keys to undo the insertion.
- If required, do any of the following:
- Use the formatting buttons to format the message.
- Use the
Attach button to include attachments in the message. You can also drag and drop files into the message field as well as paste copied files by right-clicking in the editor and selecting Paste (or using the Ctrl + V on your keyboard). Graphics files inserted in this manner appear inline (embedded in the text).
To remove an attachment, click its
button. To remove an inline graphic, select it and then press the keyboard Delete key.
- If permitted, click the
Preview button to see how the formatted email will appear to the recipients.
- Click the
button to send the email.
Note: when composing an email, you will remain in the 'Available' status unless you manually set yourself to an unavailable status. If you remain available, incoming contacts may be routed to you while you are composing the message.
